Sales Tax

Keep track of the sales tax from each event, what you owe, and when it's due.

Overview

When you sell at an event in another state or city, you may owe sales tax there. AMS keeps a simple record for each event log so nothing slips:

  • How much tax you collected
  • How much you owe, and by when
  • When you filed, and what you paid

AMS doesn't file or pay for you. It helps you remember and keeps your receipts in one place.

Set up an event once

If you go to the same event again and again, save its tax details once. Every new log for that event starts with them filled in.

  1. Open the event from Events.
  2. In the Sales tax defaults card, click Set up tax details.
  3. Under Which taxes apply?, tick State tax, Local tax or both, and enter each State rate or Local rate as a percent (like 7.25).
  4. Pick How you file, and set Days to file: how many days after the event the filing is due.
  5. Want a nudge? Tick Remind me to file sales tax for this event's logs and pick an Assigned role. Each log with a Due by date gets a task due on that date. It's checked off when you mark the log filed.
  6. Click Save.

Changing the defaults later only affects new logs. Logs you already have keep their own details. (The reminder switch is the one exception: it applies right away.)

Track tax on a log

Open the event log. If the event has defaults, the Sales Tax card is already set up. If not, click Set up tax tracking.

  • The state comes from the event's location.
  • The Due by date is filled in for you when the log has an end date and the event has Days to file. You can change it.
  • Change anything you like, then click Save Changes.

What the numbers mean

  • Gross sales — your sales from this event log
  • Taxable sales — the part of your sales that tax applies to. Leave it blank to use your gross sales. If your prices already included tax, type the amount before tax here.
  • Tax collected — the tax on the Shopify sales linked to this log. Refunds are taken off for you.
  • Tax due — taxable sales times your rates. With no rate set, it's the same as what you collected.
  • Difference — tax collected minus tax due. Close to zero is what you want.

If the numbers don't line up, you'll see a short note, like "Collected and calculated tax differ." It's just a heads-up to check for refunds or tax-free sales. You can still save.

Mark it filed

  1. In the log's Sales Tax card, set Status to Filed.
  2. Fill in Filed on, Confirmation number and Amount paid from your receipt.
  3. Click Save Changes.

Didn't owe anything? Pick Not required and add a reason if you want one, like "sold only in a state with no sales tax".

The Sales Tax tab

Go to Events and click the Sales Tax tab. It's your to-do list: every log still marked To file, soonest deadline first.

  • To pay is the tax due for that log.
  • A deadline turns amber when it's past due or due within 14 days.
  • Click a log to open it and file.
  • A log drops off the list once it's Filed or Not required. "Nothing to file right now" means you're all caught up.
