Event Logs
Record each time you go to an event: your fees, time, expenses and sales, and see if it was worth it.
Overview
An event is the show or market itself. An event log is one time you go to it. If you do the same spring market every year, that's one event with a log for each year.
Each log keeps everything about that one visit together:
- Your application status and dates
- Your fees and the hours you put in
- Your expenses, like supplies or gas
- Your sales, and whether the event paid off
- Sales tax, if you collected any (see the Sales Tax page in this section)
Add an event log
- Go to Events and open the event (row menu > View Details).
- In the Event Logs section, click + Add Event Log.
- Give it a Log Name, like "Spring 2026". That's the only field you have to fill in.
- Click Create Event Log.
Don't worry about getting everything now. You can fill in the rest later, even after the event.
What to fill in
- Application Status — Want to Apply, Applied, Waitlisted, Accepted or Rejected
- Application Deadline, Start Date and End Date
- Prep Time, Travel Time and Event Working Time — in hours
- Hourly Rate — what your time is worth. It starts with the labor rate from Business Properties.
- Application Fee, Booth Fee and Additional Fees (parking, insurance and so on)
- Email Signups — new email subscribers you got there
- Notes — anything worth remembering for next time
Record your sales
- Open the log (event page > row menu > View Details).
- In the Sales section, click + Add Sales.
- The sales screen opens as an Event Sale, with this event and log already picked. Add what you sold and submit.
The Sales section then adds up every product you sold. Click View Transactions to see each sale on its own. You can also start from the event page: row menu > Add Sales.
Add expenses
Expenses are the one-off costs of going, like supplies, gas or a hotel. On the log page, click + Add Expense and fill in:
- Date, Category (like "Travel") and Amount — all required
- Description — a short note, if you want one
Booth and application fees go in the log's own fee fields, not here.
What the numbers mean
The ROI Summary card at the top of the log page does the math for you:
- Total Time — your prep, travel and working hours added up
- Time Cost — those hours times your hourly rate. Your time counts as a cost.
- Expenses — all the expenses on this log
- Total Costs — fees + time cost + expenses
- Sales — what you took in. Voided sales don't count.
- Sales Profit — sales minus what the products cost you to make
- Profit — sales profit minus total costs. Green means you came out ahead, red means you didn't.
- ROI — profit as a percent of total costs. 50% means you made back your costs plus half again. It shows "-" until the log has some costs.
The Event Logs tab
Go to Events and click the Event Logs tab to see logs from all your events in one list.
- Upcoming only is on at first. It shows logs that start this month or in the next 11 months, soonest first. Turn it off to see past events too.
- Search by log or event name, or filter by App Status.
- Logs for events you've set inactive aren't listed here. Open the event to see them.
- The Sales Profit column is the same number as Sales Profit on the log page.
- Click a log name to open it.
Edit or delete a log
- On the log page, change anything in Log Details and click Save Changes.
- On the event page, you can also click the pencil button above the table, then change a log's name, fees or email signups right in the row.
- To delete, use the row menu > Delete on the event page. This also deletes the log's expenses, and it can't be undone.
